Overview of Job:

District 1199New Mexico is part of the National Union of Hospital & Healthcare Employees, headquartered in Philadelphia. PA.  It is an autonomous District which hires and directs its own staff.   We represent health care employees at five institutions from Central to Northern New Mexico:  University Hospitals in Albuquerque, Christus St. Vincent Regional Medical Center (CSVRMC) in Santa Fe, Los Alamos Medical Center (LAMC) in Los Alamos, Holy Cross Hospital (HCH) in Taos, and Alta Vista Regional Hospital (AVRH) in Las Vegas, New Mexico.  Internationally we are affiliated with the American Federation of State, County and Municipal Employees (AFSCME)/ AFL-CIO.

Our Union is unique because it is spread out over half of the state, we represent employees at Private-Not-For and Private For- Profit hospitals, as well as, Public Employees at the teaching hospital in city and rural environments which have several Union Chapters within them:  UNM- Licensed/ Technical ( RN’s and Technical) and Support Services, CSVRMC- Nurses, Technical and Service & Maintenance, LAMC- Nurses and Technical, HCH- Nurses(PPA) and Technical/Support (PPAA) and AVRH- One Chapter for all employees.

 

DISTRICT 1199NM ADMINISTRATIVE ASSISTANT/Data Base DESCRIPTION

 

Part-time employee (FTE) is hired as such and works a standard workweek of twenty (20) hours per week.  May be required on occasion to work over 20 hours in a week.  Any changes to that work schedule must be approved by the District President.  This is a “Confidential Employee” position.

 

 

Albuquerque Office Data Base Manager/Administrative Assistant:

  • Data Base Management is the primary responsibility of this position.
  • Coordinate with Albuquerque Administrative assistant on all database issues.
  • Enter information provided by hospitals into the database.  Including new hires and terminations.
  • Process withdrawals from all chapters per District policy. 
  • Keep record of withdrawals by request and terminations for each chapter.
  • Inform all hospitals to discontinue dues deductions.
  • Generate membership reports for Board meetings.
  • Create reports and lists as requested by staff.
  • Enter into Data Base supplemental information collected by organizer and/or representatives.
  • Maintain membership cards per District policy.
  • Mail all Chapters new member copies to National Union.
  • Compare Union deduction lists from all hospitals with Union Data Base.
  • Send out new member welcome letters to all Chapters.
  • Verify all member status for all chapters when needed.
  • Work with ABQ. Administrative Assistant to keep information flowing in order to keep Data Base current.  This is a collaborative job assignment.
  • Distribute all mail, faxes and telephone messages taken for Organizer/Representatives. Check phone for any voice mail messages left overnight.
  • Address or delegate all members concerns to appropriate Organizer/Representative Staff.
  • Support Organizer, Representatives and Delegates, bulk mailings as needed.
  • Assist Organizers with rallies, pickets and New Employee Orientation (NEO) when needed. Distribute NEO lists to Organizers/Representatives who are doing NEO, when they come in. 
  • Create reports and lists as requested by staff.
  • Other duties as assigned.

  • Proficiency with Excel, Word, Power Point and other related programs. Experience with Publisher preferred.
  • Bilingual (English/Spanish) both oral and written.

  • Must be willing on occasion to work evenings, or weekends
